Location: Dyce – Aberdeen Hours: 39 hours per week, Monday to Thursday 08:30 to 17.00, Friday 08:30 to 16.00.

Aberdeen Branch

The Branch is located in Wellheads Ind Est ,Dyce. The branch consists of a team of 8 employees, made up mainly of refrigeration engineers and supported by one Service Controller.

The Role:

The Trainee Branch Administrator will provide administrative support to the branch whilst working closely alongside the Service Controller to help us meet our business objectives. The duties within the role are broad and include a range of responsibilities, which include but not limited to;
  • Key Duties
    • Provide a high standard of administrative support to the branch
    • Maintain a positive company image when dealing with customers by phone or in person
    • Gain knowledge of company processes and procedures
  • Financial
    • Accurate input of labour and material costs to IFS
    • Raise and receipt purchase orders in IFS
    • Awareness of invoice processing
    • Scan and assemble supporting documentation
  • Customers
    • Answer calls in a professional manner and direct appropriately
    • Welcome visitors to company premises
  • Technology
    • Use of IFS system
    • Increase knowledge of IFS processes
    • Collate information and present in the required format using Microsoft applications
    • Identify scope for improvement opportunities
  • People and Processes
    • Maintain paper/electronic filing systems
    • Deal with incoming and outgoing mail
    • Develop understanding of company documentation
    • Understanding of Star administration procedures
